Event Requests
Group Event Offerings
Student Groups and University Departments may request Dittmar Gallery for Special Events. The Gallery space is open to host events like:
Dinners
Group Workshops
Lectures
Meetings
Music Recitals
Open Mics
Poetry Slams
Receptions
Due to the layout of some exhibits, special events may be prohibited during the run of select exhibitions. The Gallery staff will review all requests and will provide either a confirmation or explanation of the denial. Use of the gallery space is free and events are accessible to all student groups.
Please allow 3 - 5 business days before receiving a response.
Protocols for Student Groups
Please review the policies and procedures below before requesting an event at Dittmar Gallery.
To submit a request to host an event at Dittmar please fill out an Event Request form.
All groups who request and are approved for an event must follow all standards as follows:
- Nothing can obstruct the view of the exhibiton walls. A clear path must be maintained around the perimeter of the room to safely view artworks.
- This includes, but not limited to, catering tables pushed up against the wall, screens set up that would block the art in any way, etc
- Rearranging of gallery furniture is permitted, but must remain in the gallery space.
- You may order a maximum of 65 chairs.
- Up to (1) lecturn, (1) small speaker, and (1-2) mics may be reserved for your event.
- The Center Manager on duty may be contacted to turn off the music. Arrange with them to turn the music back on at the end of your event.
- Groups are not permitted to play their own music during the event.
- If you reserve a coat rack, it must be directly outside the gallery doors.
- Groups cannot tamper with gallery lighting position beyond turning on and off throughout the event as needed.
- Any catering requests must be ordered through Events Planning only.
- Catering after can be made after your reservation has been confirmed with Dittmar staff.
- The group leader is responsible for the setup and breakdown of the catering tables during the run of the event.
- Before departure, group leaders must ensure catering removes the tables from the gallery following the event.
- If A/V or projection needs are required for your event, Dittmar prohibits these during group events.
- If you have A/V needs for your event, we recommend reserving an alternative Norris room through Norris Events.
- Please note: Event reservation proposals that contribute to the themes and content of the current exhibition or to the arts community at Northwestern will be given priority.
- Reoccurring events such as weekly student group meetings will not be approved for use of the gallery.
Before Your Event
- Gallery must be promoted in the group's event flyer. Dittmar staff can provide you the Dittmar logo as needed.
- The group must send at least one member to the opening reception or a related gallery sponsored event for the month of the exhibit their event falls on.
- Failure to send a representative will result in a cancellation of your reservation. Once a representative has been identified, please inform staff via email at dittmargallery@u.northwestern.edu.
Cancellation Policy
- If you must cancel or reschedule your event it is your responsibility to inform the Dittmar Staff.
- Please note: Groups will be held responsible for the cost of catering if requested/approved.
- In case of cancellation, Dittmar requires a chartstring number.
Catering and Food Policy
If you would like your event catered, please work directly with the Event Planning Office by emailing your catering request to norris-events@northwestern.edu. This applies to all group event requests.
