American Councils (ACTR)

This section outlines some of the billing and financial arrangements for affiliated American Councils (ACTR) programs, and is intended as a guide to help you navigate the financial aspects of your study abroad process. You should always refer to your program materials for the most current information and instructions.

Deposit

After you are accepted to an ACTR program, you will be required to pay a deposit directly to ACTR to confirm your participation on the program. It is your responsibility to pay the deposit; Northwestern cannot pay or waive deposits for affiliated programs.

Northwestern Invoice

Your Northwestern invoice will be issued through CAESAR on the regular quarterly schedule, and will include your ACTR program fee and the NU study abroad fee. Refer to your program materials for the most current cost information.

  • ACTR Deposit: If you paid a deposit, it will be credited to your CAESAR account after ACTR has confirmed the payment.
  • ACTR Scholarships: Most ACTR scholarships will disburse to your CAESAR account after the funds have been sent to Northwestern, while others will be sent directly to you. It depends on the type of scholarship; contact ACTR directly to confirm how your scholarship will apply.
  • NU Financial Aid: If you receive financial aid and/or loans, these funds will continue to apply directly to your CAESAR account.

If you use the Northwestern 9PAY plan, you may continue to use 9PAY for your NU-billed study abroad expenses, but you should request a study abroad 9PAY estimate to have your plan set up appropriately.

Other ACTR Charges

Because your program fee will be billed through your Northwestern account, you should not receive a separate invoice from ACTR for your program's tuition, housing, visa, or insurance. Additional fees may apply for certain courses, housing add-ons, field trips, or other optional items related to your program. If applicable, you are responsible for paying these fees directly to ACTR.

Arcadia University

Deposit

After you are accepted to an Arcadia program, you will be required to pay a deposit directly to Arcadia to confirm your participation on the program. It is your responsibility to pay the deposit; Northwestern cannot pay or waive deposits for affiliated programs.

Northwestern Invoice

Your Northwestern invoice will be issued through CAESAR on the regular quarterly schedule, and will include only your Arcadia tuition and the NU study abroad fee. Refer to your program materials for the most current cost information.

If you receive financial aid and/or loans, these funds will continue to apply directly to your CAESAR account.

If you use the Northwestern 9PAY plan, you may continue to use 9PAY for your NU-billed study abroad expenses, but you should request a study abroad 9PAY estimate to have your plan set up appropriately.

Arcadia Housing Invoice

You will receive a separate invoice from Arcadia for your housing abroad. It is your responsibility to pay Arcadia directly by their deadline; you can view and pay your Arcadia invoice through the Arcadia Passport.

You should not pay your host institution abroad directly for your housing under any circumstances. Always refer to your Arcadia materials for all information about your housing placement and payments, and contact your Arcadia program manager directly if you have any questions.

  • Arcadia Deposit: If you paid a confirmation deposit to Arcadia, it will be credited to your Arcadia housing invoice.
  • Arcadia Scholarships: If you were awarded an Arcadia scholarship, it will appear on your Arcadia invoice, not on your Northwestern account.
  • Financial Aid Arrangements: If you plan to use your NU financial aid refund to pay your Arcadia invoice, complete the Arcadia Financial Aid Deferment form and send it to Krista Bethel.

Additional fees may apply for certain courses, meal plans, housing add-ons, or other optional items related to your program. In particular, when you register for your courses abroad, carefully review the information provided by Arcadia regarding additional course fees for certain departments. If applicable, you are responsible for paying any supplemental fees directly to Arcadia.

Ben-Gurion University (BGU)

Deposit

Once you are accepted to BGU, you may be required to pay a deposit to confirm your participation on the program. If required, it is your responsibility to pay the deposit; Northwestern cannot pay or waive deposits for affiliated programs.

Northwestern Invoice

Your Northwestern invoice will be issued through CAESAR on the regular quarterly schedule, and will include your BGU tuition and housing (including the required ulpan), as well as the NU study abroad fee. Refer to your program materials for the most current cost information.

If you receive financial aid and/or loans from Northwestern, these funds will continue to apply directly to your CAESAR account.

If you use the Northwestern 9PAY plan, you may continue to use 9PAY for your NU-billed study abroad expenses, but you should request a study abroad 9PAY estimate to have your plan set up appropriately.

Other BGU Charges

If you receive an invoice from BGU that includes your tuition, housing, or ulpan, you should not pay it. Northwestern will pay BGU directly for these charges, and you will be billed for them through CAESAR.

Additional fees may apply for certain courses, housing add-ons, field trips, or other optional items related to your program. If applicable, you are responsible for paying these fees directly.

Boston University (BU)

Deposit

After you are accepted to a BU program, you will be required to pay a deposit directly to BU to confirm your participation on the program. It is your responsibility to pay the deposit; Northwestern cannot pay or waive deposits for affiliated programs.

Northwestern Invoice

Your Northwestern invoice will be issued through CAESAR on the regular quarterly schedule, and will include your BU program fee and the NU study abroad fee. Refer to your program materials for the most current cost information.

  • BU Deposit: If you paid a deposit, it will be credited to your CAESAR account after BU has confirmed the payment.
  • BU Travel Credit: If you will not participate in your program's group flight, the flight credit will be posted on your CAESAR account after BU has confirmed your independent travel. This may not happen until after the start of the BU term.
  • BU Scholarships: If you were awarded a scholarship from BU, the funds will not be sent to Northwestern. You should request to have the funds disbursed directly to you through your BU Student Link account. (This option may not be available until the start of your program.)
  • NU Financial Aid: If you receive financial aid and/or loans, these funds will continue to apply directly to your CAESAR account.

If you use the Northwestern 9PAY plan, you may continue to use 9PAY for your NU-billed study abroad expenses, but you should request a study abroad 9PAY estimate to have your plan set up appropriately.

Other BU Charges

It is your responsibility to waive the Boston University domestic student health insurance plan, which will be billed to you directly by BU.

Because your program fee will be billed through your Northwestern account, you should not receive a separate invoice from BU for your study abroad program. However, additional fees may apply for certain courses, housing add-ons, field trips, or other optional items related to your program. If applicable, you are responsible for paying these fees directly to BU.

Carleton Global Engagement

This section outlines some of the billing and financial arrangements for the Buddhist Studies in India program through Carleton Global Engagement, and is intended as a guide to help you navigate the financial aspects of your study abroad process. You should always refer to your program materials for the most current information and instructions.

Deposit

After you are accepted to the Buddhist Studies in India program, you may be required to pay a deposit directly to Carleton to confirm your participation. If required, the deposit is your responsibility to pay; Northwestern cannot pay or waive deposits for affiliated programs.

Northwestern Invoice

Your Northwestern invoice will be issued through CAESAR on the regular quarterly schedule, and will include your Buddhist Studies program fee and the NU study abroad fee. Refer to your program's materials for the most current cost information.

If you receive financial aid and/or loans from Northwestern, these funds will continue to apply directly to your CAESAR account.

If you use the Northwestern 9PAY plan, you may continue to use 9PAY for your NU-billed study abroad expenses, but you should request a study abroad 9PAY estimate to have your plan set up appropriately.

Other Program Charges

Northwestern students are not required to complete the Financial Aid Payment Deferral Form for Carleton. Carleton will invoice Northwestern directly for your program fee, and your charges and aid will all be posted directly to CAESAR.

Because your comprehensive program fee will be billed through your Northwestern account, you should not receive a separate invoice from Carleton for your tuition, housing, orientation, airfare, or other required program costs. If you do receive an invoice that includes these items, you should not pay it.

Additional fees may apply for certain courses, housing add-ons, non-required field trips, or other optional items related to your program. If applicable, you are responsible for paying any supplemental fees directly.

Columbia University

This section outlines some of the billing and financial arrangements for the Kyoto Consortium for Japanese Studies (KCJS) program through Columbia University, and is intended as a guide to help you navigate the financial aspects of your study abroad process. You should always refer to your program materials for the most current information and instructions.

Deposit

After you are accepted to the the KCJS program, you may be required to pay a deposit directly to Columbia to confirm your participation on the program. The deposit is your responsibility to pay; Northwestern cannot pay or waive deposits for affiliated programs.

Northwestern Invoice

Your Northwestern invoice will be issued through CAESAR on the regular quarterly schedule, and will include your complete KCJS program fee and the NU study abroad fee. Refer to your program's materials for the most current cost information.

  • Deposit: If you paid a confirmation deposit, it will be credited to your CAESAR account after Columbia has confirmed the payment.
  • NU Financial Aid: If you receive financial aid and/or loans, these funds will continue to apply directly to your CAESAR account.

If you use the Northwestern 9PAY plan, you may continue to use 9PAY for your NU-billed study abroad expenses, but you should request a study abroad 9PAY estimate to have your plan set up appropriately.

Other Program Charges

If you receive an invoice from Columbia that includes your tuition, housing/program fee, or transcript, you should not pay it; please forward it to Krista Bethel. Northwestern will pay Columbia directly for your program charges, which will be billed to you through your CAESAR account.

Additional fees may apply for certain courses, housing add-ons, field trips, or other optional items related to your program. If applicable, you are responsible for paying any supplemental fees directly.

Consortium for Advanced Studies Abroad (CASA)

This section outlines some of the billing and financial arrangements for the Consortium for Advanced Studies Abroad (CASA), and is intended as a guide to help you navigate the financial aspects of your study abroad process. You should always refer to your program materials for the most current information and instructions.

Program Confirmation

After you are accepted to your CASA program, you will need to complete a Program Confirmation form to confirm your participation. Northwestern students admitted to this program are not required to pay a confirmation deposit, but will be charged a cancellation fee for withdrawing from the program after confirming.

Student Visa Financial Certification

In order to obtain your student visa, you will need to provide documentation that you will be supported financially for the duration of your time abroad. This may require bank statements from your parents and/or a financial aid award letter; review your visa application instructions carefully to be sure you are providing the appropriate documentation.

If you primarily fund your education through financial aid and/or loans, you may contact Krista Bethel in the financial aid office to request a letter of financial support from Northwestern.

Northwestern Invoice

Your Northwestern invoice will be issued through CAESAR on the regular quarterly schedule, and will include your CASA tuition and housing, as well as the NU study abroad fee. 

If you receive financial aid and/or loans from Northwestern, these funds will continue to apply directly to your CAESAR account.

If you use the Northwestern 9PAY plan, you may continue to use 9PAY for your NU-billed study abroad expenses, but you should request a study abroad 9PAY estimate to have your plan set up appropriately.

Other Program Charges

Additional fees may apply for certain courses, housing add-ons, field trips, or other optional items related to your program. If applicable, you are responsible for paying any supplemental fees directly.

Council on International Educational Exchange (CIEE)

This section outlines some of the billing and financial arrangements for affiliated CIEE programs, and is intended as a guide to help you navigate the financial aspects of your study abroad process. You should always refer to your program materials for the most current information and instructions.

Deposit

After you are accepted to a CIEE program, you will be required to pay a participation confirmation directly to CIEE to confirm your participation on the program. It is your responsibility to pay this deposit; Northwestern cannot pay or waive deposits for affiliated programs.

Northwestern Invoice

Your Northwestern invoice will be issued through CAESAR on the regular quarterly schedule, and will include your CIEE program fee and the NU study abroad fee. Refer to your program materials for the most current cost information.

  • CIEE Participation Confirmation: If you paid a confirmation deposit, it will be credited to your CAESAR account after CIEE has confirmed the payment.
  • CIEE Scholarships: Most CIEE scholarships will disburse to your CAESAR account after the funds have been sent to Northwestern, while others will be sent directly to you. It depends on the type of scholarship; contact CIEE directly to confirm how your scholarship will apply.
  • NU Financial Aid: If you receive financial aid and/or loans, these funds will continue to apply directly to your CAESAR account.

Other CIEE Charges

Because your program fee will be billed through your Northwestern account, you should not receive a separate invoice from CIEE for your program's tuition, housing, or CIEE insurance. You may be responsible for obtaining your own student visa; refer to your program materials and contact CIEE directly if you have any questions.

Additional fees may apply for certain courses, meal plans, housing add-ons, field trips, or other optional items related to your program. If applicable, you are responsible for paying these fees directly to CIEE.

Danish Institute for Study Abroad (DIS)

Deposit

DIS Invoice

You will receive a separate invoice from DIS for your housing fee. It is your responsibility to pay DIS directly by their deadline.

  • DIS Scholarships: If you were awarded a DIS scholarship, it will appear on your DIS invoice, not on your Northwestern account.

Duke University

Your Northwestern invoice will be issued through CAESAR on the regular quarterly schedule, and will include your program's tuition, program fee, transcript fee and the NU study abroad fee. Refer to your program materials for the most current cost information.

  • Duke Deposit: If you paid a confirmation deposit, it will be credited to your CAESAR account after Duke has confirmed the payment.
  • Duke Scholarships: If you were awarded a scholarship from your program, it will disburse to your CAESAR account after the funds have been sent to Northwestern.
  • NU Financial Aid: If you receive financial aid and/or loans, these funds will continue to apply directly to your CAESAR account.

Other Duke Charges

Earlham College

Northwestern Invoice

Your Northwestern invoice will be issued through CAESAR on the regular quarterly schedule, and will include your Japan Study program fee and the NU study abroad fee. Refer to your program materials for the most current cost information.

  • Program Deposit: If you paid a deposit, it will be credited to your CAESAR account in the fall, after Lewis & Clark College has confirmed the payment.
  • NU Financial Aid: If you receive financial aid and/or loans, these funds will continue to apply directly to your NU account.

If you use the Northwestern 9PAY plan, you may continue to use 9PAY for your NU-billed study abroad expenses, but you should request a study abroad 9PAY estimate to have your plan set up appropriately.

Other Program Charges

If you receive an invoice from Earlham that includes your tuition or room/board, you should not pay it; please forward it to Krista Bethel. Northwestern will pay Earlham directly for your program charges, which will be billed to you through your CAESAR account.

Additional fees may apply for certain courses, housing add-ons, field trips, or other optional items related to your program. If applicable, you are responsible for paying these fees directly.

Ewha Womans University

Deposit

You may be required to pay an application fee and/or deposit to confirm your intent to study at Ewha. If required, it is your responsibility to pay this fee; Northwestern cannot pay or waive application fees or deposits for affiliated programs.

Student Visa Financial Certification

In order to obtain your student visa, you may need to provide documentation that you will be supported financially for the duration of your time abroad. This may require bank statements from your parents and/or a financial aid award letter; review your visa application instructions carefully to be sure you are providing the appropriate documentation.

As noted above, Northwestern will send your tuition payment to Ewha via wire transfer. The exact U.S. Dollar amount of tuition you are charged through CAESAR will depend on the exchange rate when the wire transfer is processed.

If you receive financial aid and/or loans from Northwestern, these funds will continue to apply directly to your CAESAR account.

If you use the Northwestern 9PAY plan, you may continue to use 9PAY for your NU-billed study abroad expenses, but you should request a study abroad 9PAY estimate to have your plan set up appropriately.

Other Program Charges

It is your responsibility to pay directly for all other charges abroad, including your housing. Contact Ewha directly if you have any questions.

Fordham University

After you are accepted to the the LDA program, you may be required to pay a deposit directly to Fordham to confirm your participation on the program. It is your responsibility to pay the deposit; Northwestern cannot pay or waive deposits for affiliated programs.

Northwestern Invoice

Global Engagement Studies Institute (GESI)

This section outlines some of the billing and financial arrangements for Northwestern Global Engagement Studies Institute (GESI) programs, and is intended as a guide to help you navigate the financial aspects of your study abroad process. You should always refer to your program materials for the most current information and instructions.

Program Confirmation

Once you are approved to attend a GESI program, you will need to complete a Program Confirmation form to confirm your participation. Northwestern students attending GESI programs are not required to pay a confirmation deposit, but will be charged a cancellation fee for withdrawing from the program after confirming.

Northwestern Invoice

Your Northwestern invoice will be issued through CAESAR on the regular quarterly schedule, and will include your GESI program fee (tuition, room/board, insurance), as well as your program airfare.

If you receive GESI scholarships, financial aid, and/or loans, these funds will apply directly to your NU account.

Withdrawal & Refund Policies

If you withdraw or are dismissed from a GESI program after submitting your program confirmation form, you are subject to the withdrawal & refund policies for Northwestern programs.

Hebrew University

Indiana University

  • Program Deposit: If you paid a confirmation deposit, this credit will appear on your CAESAR account after IU has confirmed the payment.
  • NU Financial Aid: If you receive financial aid and/or loans from Northwestern, these funds will continue to apply directly to your CAESAR account.

Sarah Lawrence Invoice

If you receive an invoice from Sarah Lawrence College that includes your tuition, housing, or study abroad health insurance, you should not pay it. Northwestern will pay SLC directly for your program charges, which will be billed to you through your CAESAR account.

You may receive an invoice that includes other items, such as your room damage deposit, tuition refund insurance, and the SLC domestic (U.S.) student health insurance. While the room damage deposit is likely required, you may be able to request waivers for the other items; contact Sarah Lawrence directly with questions.

Additional fees may apply for certain courses, housing add-ons, field trips, or other optional items related to your program. If applicable, you are responsible for paying these fees directly to SLC/BADA.

School for International Training (SIT)

SIT Financial Forms

You are required to complete the SIT Letter of Financial Responsibility.

Because SIT will bill Northwestern directly for your program fee, you are not required to complete the Proof of Aid form or the Transferable Funds Information Sheet. You may want to discuss the SIT Power of Attorney form with SIT and/or your parent to determine whether that form might apply to you.

SU Abroad Scholarships

NU students are encouraged to pursue outside scholarships for study abroad, including those offered by SU Abroad. This may require you to add Syracuse University to your FAFSA (school #002882), in addition to Northwestern. Doing so will not have any impact on your NU financial aid application.

University of Chicago

You will receive an invoice directly from CIDE for your housing in Bilbao. It is your responsibility to pay CIDE directly by their deadline. The most common payment method is via credit card.

If you will receive financial aid that will cover your housing charges, contact Krista Bethel to determine if you might be eligible to request an extended payment deadline from CIDE. In this case, you may only be required to pay a 500€ deposit by the housing payment deadline, and would need to pay the remaining balance upon receipt of your financial aid.
