TGS Student Onboarding, Fall 2021

Incoming TGS PhD and MFA graduate students must complete the following items by the deadlines below to be paid by Northwestern at the end of September:

  1. September 17, 5 pm (U.S. students only) W-4 tax forms - Optional
    • Important: No tax is held on scholarships; please view scholarship/fellowship tax withholding information. If you would like tax withheld, you must submit either a paper W-4 via mail to 720 University Place, Evanston, IL 60208 or a scanned W-4 to (please password-protect your file). Forms must be printed, and signed with ink, to be accepted.
    • If you are residing in the United States, but outside Illinois, please see “Tax Information” online for further information.
  2. September 17, 5 pm (Foreign nationals only) FNIS/ Foreign National Information System – Further details are below.
  3. September 23, 5 pm - Submit information to receive your payments electronically.  Students who do not provide complete and accurate information by this deadline may experience a delay in receiving their stipend payment. 
    • U.S. Bank Accounts: Enter your Direct Deposit Information in myHR (not the same as CAESAR)
      All students residing in the United States should sign up for direct deposit to a bank in the United States. You will be able to log into myHR with your regular netid and password starting 9/17/2021. Students residing abroad but who have a bank account in the U.S. also should sign up for direct deposit into the bank account in the U.S. Doing so will not impact your tax situation.
    • Foreign Bank Accounts for Students Located Abroad: Complete the International Wire Transfer Form
      Note: Wire transfers are only for students located abroad who do not have a bank account in the United States. While Northwestern is covering the fees to send the wire transfer, your bank may charge you a separate fee. Also note that the funds will be disbursed no later than the last working day of the month, but it may take a few extra days for the funds to appear in your foreign bank account.
  4. April 30, 2022 Form I-9 Sections 1 and 2 – Further details are below.

FNIS/ Foreign National Information System

FNIS is required of all foreign national students unless the student has been in the U.S for 30 days or less in 2021 (this is for the whole year and includes previous study and future visits). If a student meets that exception they should respond to the FNIS email sent on September 1 and alert the nonresident tax specialist.

Foreign nationals that have been inside the U.S. for 31 days or more in 2021 must complete FNIS by September 17, 2021.  This process can be completed from outside the U.S.

Login details will be emailed to each foreign national student, via their Northwestern email address, by September 1, 2021.

Form I-9

In a temporary change of I-9 policy, PhD-seeking graduate students’ I-9 deadline is delayed until April 30, 2022 if the following conditions are met:

Foreign nationals who will not be inside the U.S. on or before April 30, 2022, please contact your nonresident tax specialist for special handling.
