Withdrawal Policies for Northwestern-Sponsored Programs

If a student withdraws from a Northwestern-Sponsored Program after submitting a signed Program Confirmation Form, s/he must inform the appropriate study abroad office at Northwestern immediately and in writing.

In such an event, the following policies apply.

1. Prior to the program's commencement: If an confirmed student chooses to withdraw before a program begins, s/he will be responsible for paying a $1,000 cancellation fee (or a $1,000 non-refundable deposit in the case of non-Northwestern students) plus any unrecoverable program costs that the Northwestern coordinating office or the program has incurred on his or her behalf. Such costs may include, but are not limited to: pre-paid tuition, pre-paid meals, pre-paid room or housing reservation deposits, airline deposits or airline tickets, bus rental fees, and/or payments for guides. Thus, even if the student has not yet paid the full program balance and does not attend the program, s/he will be responsible for paying any unrecoverable program costs. Therefore, it is in the student's best interest to notify their coordinating office immediately upon making a decision to withdraw in order to minimize unrecoverable expenses made on the student's behalf.

If a student withdraws or is dismissed from a Northwestern-sponsored program, any program scholarships, fellowships, travel grants, or other funding awarded to the student by their program office or other Northwestern departments may be cancelled.  The student is responsible for any balance due resulting from this loss of funding.  Students receiving financial aid and/or loans should consult with the Financial Aid Office for information about how withdrawing would affect their federal, state, and/or institutional aid.

2. After the program's commencement:

a. If a student withdraws from a Northwestern-sponsored program offered during the academic year after the program begins, for any reason, s/he will be responsible for all unrecoverable program costs. Any refunds will be made according to the program's policies, which are dictated by the policies of the host institution(s) and contracted service provider(s). Depending on the date of withdrawal, it is possible that no refunds will be given.

b. If a student withdraws from a Northwestern Summer Program that is run by Northwestern after the program begins, for any reason, no refunds will be given.

c. If a student withdraws from Northwestern's Consortium for Advanced Studies in Barcelona (CASB) program after submitting a signed program confirmation form, s/he will be charged any unrecoverable costs incurred on her/his behalf by the CASB program, in addition to any other applicable charges as set forth in the CASB Refund Policy.

d. If a student withdraws from a Northwestern Summer Program that is not run by Northwestern (such as IES Abroad Arles), refunds of program fees and any applicable deposits will be made according to the policies of the program (which are dictated by the program provider and/or host institution[s]). Monies forfeited through withdrawal or dismissal will not be credited toward tuition fees for further studies at Northwestern. The Student Accounts Office will bill the balance due on the cost of the program.

e. If a student is required to return to the U.S. after a program's commencement due to serious illness, death, or death within the immediate family, the coordinating office at Northwestern will make reasonable efforts to refund recoverable costs to the student.

f. If a student chooses not to participate in a pre-paid program activity (such as a field trip, excursion, cultural event, included meals, etc.), no portion of the program cost will be refunded.

g. If a student is dismissed from a program due to behavioral, academic, legal, or other related issues, no refunds will be given.

h. Any student who withdraws before completion of the program may not be eligible to receive academic credit from the program.

i.
