Guide to Providing Emergency Number

EVANSTON, Ill. --- Northwestern University has a new campus-wide emergency notification system in place that enables the University to contact the entire Northwestern community rapidly in the event of an emergency on campus.

As a result, the University will now require graduate and professional students to provide a telephone number where they can be reached at any time. Graduate students and School of Continuing Studies students will be required to provide this information prior to registering for spring quarter. If a student does not designate at least one number as his/her emergency notification number, a hold will be placed on his/her record and he/she will not be able to register for classes. Registration for spring quarter begins Feb. 25, so students are urged to log into CAESAR and provide their information as soon as possible.

Students in the School of Law and the Feinberg School of Medicine also should provide their emergency notification by going to the personal information page on CAESAR. Registration holds for law students will go into effect during the next registration period. As a result, any law students who have not provided this information by that time will be precluded from registering until the information is supplied.

Kellogg students will be able to update this information on the same site where they update addresses and phone numbers, starting in late spring, and will receive instructions via e-mail.

Last quarter, all undergraduate students except those enrolled in the School of Continuing Studies were required to provide a telephone number where they can be reached at any time. Now all School of Continuing Studies students, as well as graduate and professional students, will be required to provide an emergency notification number.

The University is working with an outside vendor that specializes in mass notification systems. The new system simultaneously calls, e-mails and sends a text message (for those who have text messaging service on their cell phones) to everyone for whom the University has a valid phone number. Therefore, the University needs to know the best phone number to reach all members of the community in the event of a campus emergency. That may be a cell phone number, or for those who don't have a cell phone, another local number where he/she is most likely to be reached.

Northwestern is also strongly encouraging faculty and staff to update their personal records to include their home, office and cell phone numbers. Faculty and staff should do so through the HRIS system available on the Human Resources web page.

Guide to Providing Emergency Number

Here's a step-by-step guide on how to provide your emergency notification number.

Students (except Kellogg)
1. Go to the phone number page in the Personal Information section on CAESAR. The link to CAESAR is www.northwestern.edu/caesar. As always, when signing into CAESAR, you will be asked for your Northwestern NetID number and your password.
2. Once you have signed in, proceed to the phone numbers page in the Personal Information to provide your information.
3. If you haven't already done so, fill in the numbers in the fields labeled "Cellular" and/or "Current."
4. Designate one or both of these as your emergency notification phone number(s). You must designate at least one number so the University can attempt to notify you in the event of a campus emergency. The system will call your cellular number and your current/local number simultaneously, so you don't need to prioritize them.

Faculty/staff
1. Go to the HRIS tab on the Human Resources web site. The link to the HRIS page is http://www.northwestern.edu/hr/hris/.
2. In the column headed "Current HRIS Applications," click on the link "HRIS Self Service."
3. Click on "Accessing Self Service." The HRIS login page will appear on your screen. Provide your NetID and your password and the main Self Service page will come up.
4. On the Self Service page in the section labeled "Personal Information," click on the link "Phone Numbers."
5. On the Phone Numbers page, fill in your cellular, home and work phone number information. If you have more than one work phone number, designate one of them as your preferred phone number. The system will call your cellular, home and work numbers simultaneously, so you don't need to prioritize them.

An important note: The link "Family Emergency Contacts," which is right below the link "Phone Numbers" in the Personal Information section is NOT where you should input the information about how to notify you in the event of a campus emergency. The Family Emergency Contacts section is where you should input contact information for another person who should be contacted in case something happens to you. You may want to check this information and update it if necessary, but it is NOT where the phone numbers will be drawn from to provide the information for the new emergency notification system. So be sure to click on the link "Phone Numbers" and provide the information there.
