Welcome to the online tutorial for the ETES system. ETES stands for electronic time entry system. This system has been designed to allow employees to enter their hours worked in an electronic timesheet rather than having to fill out a paper timesheet. Likewise, supervisors will no longer need to sign a paper timesheet and will be able to approve the employees' electronic timesheets online too.
The university workweek will continue to start at the beginning of Sunday and end at the end of the following Saturday. ETES has been designed to allow you to enter your hours in the same way you did on your paper timesheets. If you enter hours on the timesheet as you worked them, you may do that with ETES. If you enter all of your hours at the end of the pay period, you may also do that with ETES. It depends on your personal preference or how your supervisor has instructed you on when you enter the hours. If you use a badge reader to swipe in, you will continue to swipe in and out on a daily basis. There will be a cutoff time for you to enter your hours at the end of each pay period. At 5:00 pm on the Friday before the end of the pay period, employees will be asked to have entered all of their hours in their timesheet unless they work over the weekend. If an employee works over the weekend, the total hours including the weekend hours need to be on the timesheets by 10AM Monday morning. We recommend Employees should enter their hours by 5 on Friday if they are not scheduled for the weekend so supervisors have time to approve the timesheets. The HRIS department will be sending out reminder emails to employees and supervisors of the cutoff dates and times each week. There will also be times when employees and supervisors will be locked out of the system for payrollrs to be run and for maintenance on the system. Users will also receive emails notifying them of lockout dates and times so that you may plan accordingly for your time entry. If you are part time temporary employee you should enter and approve your hours on the last day you worked in the payperiod.
This training module has been designed to explain the process of entering the hours you worked in the electronic timesheet. It will also walk you through changing prior period timesheets, as well as making changes to your home address and phone number. The tutorial is divided into sections with topics. You may click on any of the sections individually at any time if you ever have a question and would like to refer back to one section. You may stop this tutorial at any time to take notes or to make print screen shots if would rather make notes directly on the panels. We recommend that you go through the whole tutorial the first time to get a better understanding of what the system can do and how you can use it.
Employee's reporting time using a swipe card will only use the My Profile and reports links. You do not need to access the time entry sections of this tutorial. Only temporary employees needing to report hours worked should follow the time-entry section of this tutorial.
