Welcome to the online tutorial for the ETES system. ETES stands for electronic time entry system. This system has been designed to allow employees to enter their hours worked as well as paid time off in an electronic timesheet rather than having to fill out a paper timesheet. Likewise, supervisors will no longer need to sign a paper timesheet and will be able to approve the employees' electronic timesheets online too.
The university workweek will continue to start at the beginning of Sunday and end at the end of the following Saturday. Nonexempt staff are paid every two weeks on the Friday following the end of each two-week pay period. ETES has been designed to allow you to enter your hours in the same way you did on your paper timesheets. If you liked to enter hours on the timesheet as you worked them, you may do that with ETES. If you like to enter all of your hours at the end of the pay period, you may also do that with ETES. It depends on your personal preference or how your supervisor has instructed you on when you should enter the hours. If you use a badge reader to swipe in and out, you will continue to swipe in and out on a daily basis. There will be a cutoff time for you to enter your hours and approve your timesheet at the end of each pay period. The HRIS department will be sending out reminder emails to employees and supervisors of the cutoff dates and times each week. There will also be times when employees and supervisors will be locked out of the system for payrolls to be run and for maintenance on the system. Users will also receive emails notifying them of lockout dates and times so that you may plan accordingly for your time entry.
This training module has been designed to explain the process of entering hours worked and paid time off in the electronic timesheet. It will walk you through entering your regular work hours, vacation time, sick, personal floating holidays, and Northwestern University Holidays. It will also walk you through changing prior period timesheets, adding hours to a future timesheet in case you might be on vacation, as well as making changes to your home address and phone number. You may click on any of the sections to individually at any time if you ever have a question and would like to refer back to one section. You may stop this tutorial at any time and take notes or make print screen shots if you'd like to make notes on the panels. We recommend that you go through the whole tutorial the first time so you get a better understanding of what the system can do and how you can use it.
Employees reporting time using a swipe card will only use the My Profile and reports links. You do not need to access the Timesheet sections of this tutorial. If you report your time based on the hours worked, you should go to time entry for elapsed employees. If you only need to report exceptions to your scheduled hours, go to the Time Entry for elapsed-exception employees.
