Announcement Highlights


Incidental Sick Time

Incidental Sick Time (IST) for staff employees will remain at 15 days for Fiscal Year 2016.

Extended Sick Time Salary Relief

Beginning September 1, 2015, a new paperless process will be in place for departments to request salary relief for employees on an approved medical extended sick leave through The Hartford.

  • Extended Sick pay for biweekly employees will be charged automatically to a central benefits pool
  • Extended Sick pay for monthly employees will be charged to the department initially, but may be redirected with the benefits pool within 90 days by entering a payroll journal in FASIS
  • Relief is only available for employees on a medical leave approved through The Hartford, and only for the salary incurred during the approved dates
  • At this time, research faculty and Feinberg Clinical Division faculty are not part of this policy; discussion is underway for future implementation for these groups

Vacation Payouts for Grant-Funded Employees

Beginning September 1, 2015, a new central Grant Benefit Pool will incur the costs of vacation, PFH, and sick pool payouts which otherwise would have been charged to a sponsored account.  Salary Continuation (severance pay) for a full or partial grant-funded employee will see the proportion of grant funding redirected to the Grant Benefit Pool instead.

  • All processes happen automatically, with no intervention from the department required
  • Non-sponsored accounts are still responsible for any portion of payout or severance that would otherwise be charged to those accounts (proportional to the employee's position funding distribution)

Documentation for Postdoctoral, Student, and Research Visitor Appointments

A new document describing many Postdoctoral, Student, and Research Visitor Appointments PDF has been created.  This document includes definitions, appointment information (job code, account code, etc.), and other details for each classification.  This document, produced in collaboration with TGS, OSR, Effort, and others, is now available for use and feedback.

  • Additional "Supplemental" job codes have been created for each appointment that allows for supplemental, non-services payment.  Going forward, these job codes should be used when providing an additional supplement to an individual with one of the listed appointments.  Job codes are indicated in the document above, and will appear in the FASIS Job Code Matrix by August 28.
  • Feedback from department and school users is encouraged, particularly where further detail or clarification can be provided.  Email all questions and concerns to fasistraining@northwestern.edu
  • The information in the document is valid immediately; a final version, incorporating users' feedback, will be available at the October FASIS Town Hall and online by October 7.
