Position Management Information

Position Management’s goal is to provide schools and departments with the information needed to manage positions and salary budgets effectively. Initially, Position Management will only effect exempt and non-exempt staff positions, with faculty and research positions following later. Positions for graduate students, temporary employees, and work-study students will not be included.

The first phase of the rollout includes:
A new HRIS page for maintaining Staff Position Budget Salaries
Changes to the PED (payroll expense distribution) reports in VISTA
Changes to the procedures for managing positions
Cognos BI Position Management reports

Position Budgeted Salary Page for Staff Positions
A Budgeted Salary field has been added to each Active staff position. For filled positions, this field was loaded with the current incumbent’s annual salary. For vacant positions, the Budgeted Salary was filled with the prior incumbent’s salary.
With the Position Budgeted Salary page, administrators can change the Budgeted Salary field as needed for individual positions.
How is the page used?

Payroll Expense Distribution (PED) Vista Reports
The following reports have changed: NWPAY013, GL Rpt by Department,
NWPAY013A, GL Rpt by Dept for Mult Positions, NWPAY016, Rpt by Account
What data has changed on the reports?
-A column displaying the Position Budgeted Salary has been added to each report. No other fields or calculations on the reports have changed.
-This field is displayed only for Staff positions (where the Position Type is equal to STF, and the Position Category is equal to either EXM or NEX).
-In cases where the position has multiple funding lines, the Budgeted Salary is split based on the funding distribution.

Cognos Business Intelligence (BI) Position Management Reports
The Cognos Position Management reports present position, employee, and GL expense data from HRIS. Currently, the reports are available to Area and School administrators, with plans on adding more users in a few months.
