Review Job Opening/Applicants:

My Job Opening is not showing up when I go to Review Job Openings/Applicants

When I click on the Resume Icon the resume just blinks and does not open

When I print a cover letter it is printing a blank page

An applicant applied but I do not see the applicant on my list

How can I make the applicant list easier to view?

Create New Job Opening:

I get an error “You are not allowed to update your own data” when I Save & Submit a new job opening

I'm Creating a Job Opening and I cannot find my name on the list for either the Hiring Manger, Authorizer, or Resume Receiver roles.

There is no Posting Description when I try to create my Job Opening

I created a new job opening, but I do not see it on the eRecruit website.

Rejecting Applicants:

When I click on Reject Applicant, I am not seeing the correct applicant's name

When I go to Reject an applicant and click on Submit, the applicant(s) are not getting rejected.

Select Applicant for Offer:

I am getting an error when I try and Submit and Offer that says “At Least one Offer Detail record must be entered”

Position Description:

I am getting an error when I save saying that I must be in “Correction Mode”

When I click on Save, an error message says that “Percentage does not equal 100%” even though it does equal 100%

I am getting a “Data being added Conflicts…” error message when I try and save my Position Description

My Job Opening is not showing up when I go to Review Job Openings/Applicants

If you do not see your Job Opening when you click on the Review Job Openings/Applicants it may be for one of three reasons.

1) Your name may not be associated with the Job Opening . Have the Data Coordinator for the Job Opening sign in and pull up the Job Opening. Have them click on the “Job Opening Details” link and then the “Authorization” link in order to view all eRecruit roles assigned for this Job Opening. If your name is not listed for any of these roles then you will not be able to view the Job Opening. If you need your name to be added for one of the Roles, contact your Recruiter.

2) Your Job Opening is not in an Open status. When you first go into the Review Job Opening/Applicants page, it defaults to displaying only Job Openings in an Open Status. To see all Job Openings you are associated with, select “All” in the drop down box to the right of the text that says “Jobs Associated to Me .” Next, click on the green refresh icon to view all of the Job Openings you are attached to.

3) You may not have access to the department associated with the Job Opening. When eRecruit roles are initially set up for a department, the department requests that certain users only have access to particular departments. If you were made Hiring Manager, Resume Receiver, or Authorizer for a Job Opening but you do not have security access to that department then you will not be able to view the Job Opening. To have your security access changed, send an email to your Recruiter and include the following information:

When I click on the Resume Icon the resume just blinks and does not open?

If you are on Windows XP, please take the following steps:

1) Make sure you have all of your pop-up blockers disabled. This includes your browser pop-up blocker as well as any pop-up blockers on a Yahoo! or Google toolbar

2) If you do not wish to disable or if the disable still does not allow you to pull up the resume, hold down the “Ctrl” key while you click on the Resume icon and keep holding down the ”Ctrl” key until a “File Download” box appears.

3) Once the “File Download” box appears, uncheck the box that says “Always ask before…” Then click on the “Open With…” button to open the resume attachment.

When I print a Cover Letter it is printing a blank page

A blank page will print if the focus of your cursor is not on the Cover Letter text. To ensure you are printing the Cover Letter, click your mouse anywhere on the Cover Letter text. Next, right click and select “Print” or click on “Print” from your Browser's menu.

An applicant applied but I do not see the applicant on my list

This may be for two reasons:

1) The applicant applied, but the Recruiter has not yet routed the applicants to you. If you need to see the applicant's information immediately, then send an email to your Recruiter along with your Job Opening ID number asking them to route your applicants.

2) By default, only the first 20 applicants will show up on a page at once so you may not be viewing all of the applicants attached to the Job Opening. To view the first 100 applicants on one page, click the “View All” link located in the dark blue bar at the top of the Applicant List. (If you have over 100 applicants, the link will say “View 100”)

If you know your applicants name, click on the “Applicant Name” column header link at the top of the list to sort your applicants by first name. You may need to click on the icon in the top right corner of the Applicant List to scroll to the next page of applicants .


How can I make the applicant list easier to view?

You have several ways to make your applicant list easier to view.

1) You can expand the applicant list to take up the entire window, by minimizing the Menu on the left-hand side of your screen. To minimize, click on the “Minus” sign in the dark blue Menu bar.

2) You can also sort your applicants in a variety of ways to limit your list. One way is to choose a particular applicant disposition from the Display drop down box at the top of the applicant list. For instance, if you only want to see applicants in a Route Status, choose Route in the drop down menu and this will filter your applicant list.

3) Another way to sort your applicants is by clicking on the Column Header links at the top of the applicant list. For instance, if you want to sort your applicants by Application Date, click on the “Application Date” column header link. To sort the dates in descending order, click the “Application Date” Column Header link again.

4) Please see Step 2 of the previous question for directions on how to display more than 20 applicants on a page.

I get an error “You are not allowed to update your own data” when I Save & Submit a new job opening

You will receive this error if the name you entered in the Resume Receiver role is the same name that is in either the Hiring Manager or the Authorizer role. To correct this error, click on the “Authorization” link to return to the page with the eRecruit roles. Click on the “trash can” icon to the right of your name for the Resume Receiver role. (Because you are all roles, you do not need to also have the Resume Receiver role for the Job Opening) Once the name is removed from the Resume Receiver box, click on the “Next Step” button to go back to the last page of the Job Opening and then click on the “Save” button.

I'm Creating a Job Opening and I cannot find a name on the list for either the Hiring Manager, Authorizer, or Resume Receiver roles.

This may either be because the name you are trying to find is not set up with that particular eRecruit role or the name may not be set up for any of the eRecruit roles.

If you are simply trying to add an employee as a Resume Receiver and their name does not show up on the list, please send an email to your Recruiter with the following information:

If the employee you are trying to find has never been set up for eRecruit, we will require that they first go to training before they can be set up with eRecruit access. The employee does not need to go to training if they will only have the Resume Receiver role . There is no Posting Description when I try to create my Job Opening

It is OK if there is no Posting Description when you are on the last page of creating your new Job Opening. The Posting Description will be created when the Job Opening goes to the Recruiter for final Approval. Human Resources uses the Position Description to create the Posting Description for applicants to see on the eRecruit website

I created a new job opening, but I do not see it on the eRecruit website.

A Job Opening will not post to the ERecruit website until the Job Opening has been approved by both the Authorizer and the Recruiter and it is in an Open status. To check on the status of the Approvals, go to Review Job Openings/Applicants and select “Pending” instead of “Open” from the drop down box at the top. Next, click on the green refresh arrows to pull up your list of Pending Job Openings. To see which Approval your Job Opening is waiting on, open up the Job Opening and click on the “Approvals” link which is below the “Funding Information” link. On the approvals page, you will be able to see whether the approval is waiting on the Authorizer or the Recruiter.

If your Job Opening was changed to an Open status today, then the Job Opening will not be posted to the eRecruit website until the next business day.

When I click on Reject Applicant, I am not seeing the correct applicant's name

If you see a different applicant name at the top of the Rejection screen, the system will still reject the applicant name you are intending to reject. The problem is only with the applicant name being displayed and not with the actual applicant name associated with the Reject action. This is a known bug in the PeopleSoft eRecruit system where it displays the applicant name of the last applicant to be rejected and we are working with PeopleSoft to resolve this issue.

When I go to Reject an applicant and click on Submit, the applicant(s) are not getting rejected.

The Reject Status Code should be display only on the Reject Applicant page. If the Reject Applicant page is requiring you to enter a Status Code of Reject in the drop down, then the Reject action will not work. This may have resulted if you used your Back button to move through the pages instead of the “Return to Previous Page” links. To get to the correct page, get out of the Job Opening and go back into the system and repeat the Reject action.

If you are receiving an error when you are Rejecting an applicant, it may be because the applicant has an invalid email address. This can be corrected by contacting Leslie Gardner ( l-gardner@northwestern.edu ) for eRecruit Technical support. In the email, include the following:

Any error message you are receiving, if any:

I am getting an error “At Least one Offer Detail record must be entered” when I try and Submit an Offer

You will receive this error if you have not entered a Recommended Base Salary on the Offer page. The system requires a recommended salary to be entered on this page in order to extend an Offer. This is the amount you agreed upon with your Recruiter. The amount you enter does not impact Payroll. The final amount will be entered by Human Resources. To correct, go to the “Job Offer Components” box in the middle of the page. Select “Base Salary” as a Component. Enter a Recommended Offer amount (do not use the “$” sign) Change the currency to “USD” and also make sure to select the appropriate “Frequency.” If you get a warning that the recommended amount is out of the range, press the OK button to continue.

I am getting an error when I save a Position Description saying that I must be in “Correction Mode”

Because we need to keep a history of the Position Description changes, you must create a new Effective Row before making Position Description changes. To create a new Effective Row, pull up your Position Description and in the Job Summary box, click on the “plus” sign. This will insert a new row with today as the Effective Date. Please note, that you can only make one save to your Position Description a day so please make all of your changes in one sitting and then click on the Save button. If you must make another change in the same day, add another effective row and change the Effective Date to tomorrow's date.

When I click on Save, an error message says that “Percentage does not equal 100%” even though it does equal 100%

Please make sure that you have clicked on the “Calculate” button at the bottom of the Principal Accountabilities section and that the percentage equals 100%. If you are still encountering the issue, please send an email to Leslie Gardner( l-gardner@northwestern.edu ) and include the Position Number in the email.

I am getting a “Data being added Conflicts…” error message when I try and save my Position Description

You will receive this error if you are trying to edit a Position Description that already has today's Effective Date listed in the Job Summary box. If you must make another change to the Position Description in the same day, add another effective row by clicking on the “plus” sign in the Job Summary box and change the Effective Date to tomorrow's date. Then complete all necessary changes and click on the “Save” button. If you are still encountering the error after doing this, please send an email to Leslie Gardner( l-gardner@northwestern.edu ) and include the Position Number in the email.
