Temporary Staffing Center for Managers

Welcome to the Northwestern University Temporary Staffing Center, our in-house temporary employment service.  We maintain this Temporary Staffing Center to assist our hiring managers in filling temporary long- and short-term vacancies and to aid job applicants seeking temporary employment.  The NU Temporary Staffing Center provides temporary staffing coverage for various needs throughout the University during vacations, leaves of absence, special projects, seasonal peaks and unexpected business demands.  We also frequently assist departments in filling regular vacancies through temporary to regular job service.

The Temp Center prescreens all applicants. This includes skills-testing and reference, education, and criminal background checks.

To request a Sourced Temp, a temporary employee recruited and/or vetted by the NU Temporary Staffing Center, complete the Temporary Requisition Form.

To request a Direct Temp, a temporary employee recruited and vetted by the department, that is not currently registered with the NU Temporary Staffing Center, complete the Temporary Requisition Form - Direct Temp.

    Complete the Temporary Requisition Form pdf and email it to us.

  2. When can I expect to hear from you after I have submitted my Temporary Requisition form?

    A representative from the NU Temporary Staffing Center will acknowledge receipt of your Temporary Request Form by email.  You may also receive a telephone call to clarify any of the information on the Temporary Requisition form.

  3. How much notice do I need to provide the NU Temporary Staffing Center that I need a temporary employee?

    We maintain a pool of qualified administrative applicants who are available to start work immediately.  However, if your needs are more specialized it may take up to two or three weeks to recruit the appropriate candidate.

  4. What is the cost of a temporary employee?

    In addition to the employee’s hourly rate of pay you will be charged an additional $3 per hour by the NU Temporary Staffing Center as an administrative fee.

  5. Do you meet with applicants you are referring to me?

    Yes, we conduct an in-person interview with all applicants before they are referred to a hiring manager.

  6. Do you conduct criminal background checks on referrals?

    We conduct criminal background checks on all temporary applicants who are hired.

  7. How long may my temporary employee work in my department?

    A temporary employee may work for the University up to 1000 hours in any twelve month period.  A Temporary Staffing Center representative can advise you if your temporary employee or applicant has already worked some of those 1000 hours in another department.

  8. Do you provide any training for temporary employees?

    Yes, we can offer your temporary employee or applicant free PC software training materials. Contact the NU Temporary Staffing Center to learn what is available.

  9. May I use an outside vendor to help me fill my temporary employment need?

    Please advise us that you wish to do this.  A list of approved vendors to help with your temporary employment needs is available here.

  10. Can you help me with the hiring process if I have identified a candidate without using the NU Temporary Staffing Center or an outside vendor?

    Yes.  Please complete the Temporary Requisition Form - Direct Temp pdf and submit it with the applicant’s resume.  We will contact your applicant and complete all of the new hire onboarding, including reference checks and a criminal background check as a free service to your department. Direct Temps are also required to complete onboarding documents including Federal and Illinois W-4s, Personal Data Form, a Direct Deposit form, a Mandatory Reporter Form (DCFS), and sign a Temporary Employee Handbook Receipt (receipt on last page of the handbook).

  11. Can I hire a former Northwestern employee as a temporary employee?

    Yes, you can hire a former Northwestern employee as long as they left the University in good standing and has had a break in service of at least 31 days. We will work with you to confirm the employee’s standing.

  12. Can my temporary employee obtain a WildCARD and use the NU shuttle service?

    Temporary Employees will not be issued WildCARDs, however may be able to obtain a Part-time/Temporary Employee ID Card while working as a temporary employee at Northwestern.

    • The employee's supervisor/administrator must submit a Part-Time/Temporary Employee ID Form pdf to the WildCARD office. Forms can be mailed in or emailed directly from the PDF. Note: This form must be submitted; emails from supervisors will not be accepted.
    • The temporary employee should go to the WildCARD office with their employee ID number and a picture ID (driver's license, state ID, or a valid, unexpired passport) to obtain the card.
    • Cards are free for temporary employees, but the replacement for lost or stolen cards is $15 (or $25 for Indala contactless smartcards).
