About PayFlex
PayFlex Systems USA, Inc. is the new claims administrator for
the University's health care and dependent care flexible spending
accounts replacing the University's Benefits Division starting
January 2008. The primary reason for moving administration of FSA
claims to PayFlex is to achieve greater administrative efficiency
and to enhance service to faculty and staff. PayFlex is a Omaha,
Nebraska based company specializing in administering FSA plans
and has the expertise needed to provide timely and accurate claim
service. The Benefits Division will provide PayFlex with the annual
pledge amount and monthly contributions. An individual may not
submit or deposit contributions directly to PayFlex.
Claims **Debit Card for Health Care and Limited Use FSA members
The PayFlex Debit Card makes your Health Care Flexible Spending
Account (Health FSA) easier to use. The Card may also be used by
participants in the Limited Use FSA. The PayFlex Debit Card is
a special MasterCard® that draws on the value of your annual
FSA election amount regardless of the amount of contributions in
the account. Use of the Debit Card is optional - plan participants
are not required to use the Debit Card to pay for out of pocket
expenses. For

Using the PayFlex Debit Card is simple because...
- It's automatic - the funds are immediately
deducted from your Health Care Spending Account at the time you
incur the expense.
- It's fast & easy - simply swipe, press "Credit," sign
for the transaction and save your receipts. No PIN is required.
- It improves your cash flow - it is not necessary
to pay cash at the time of purchase and then wait for reimbursement.
- It's easy to track - your current balance
and record of account transactions are available around the
clock by accessing your account online. A
monthy account statement is not issued.
The PayFlex Debit Card helps with qualifying Health Care Spending
Account expenses such as:
- Prescription drug co-pays.
- Physician office visit and emergency room co-pays.
- Over-the-counter medications and eligible other items.
- Health plan deductibles.
**Express Claims for Health Care and Dependent Care expenses Use
the PayFlex EXPRESS Claim Service and enter your health
care expense claim online! Use this feature for health
care services other than copayments, such as outpatient hospital
services, dental care services and vision care services. Submit
or have your provider submit a claim to your health insurance company. Upon receipt
of an Explanation of Benefits from the health insurance company
showing a patient owed amount, submit a FSA claim to PayFlex. Go
to the PayFlex member website and click on the Express claims link.
Print the claim, attach receipts and either fax or mail the claim
form and receipts directly to PayFlex. You'll receive expedited
claim approval and an email confirmation of receipt and processing.
Claims are generally processed and paid within 2-3 days. You may
also use the Express Claim Service for dependent care account claims.
Online Resources **Account transactions
and balances
You may access account transactions and balances online. New account
users will need to register for an account. Simply go to the PayFlex
member website lick login
and then click on "Register my account." You will be
asked to enter a Username (your NU employee ID found on your Wildcard),
your 5 digit HOME Zip Code and password. Then click on the Submit
button. You will then be asked to re-enter your username, password
and specify a security question for use in the event you forgot
your password. You may also specify if you want to receive email
notifications when claims have been received, EOB advice notices
for any claim denials and direct deposit payments and documentation
requests for purchases made with the PayFlex Debit Card. Once you
have completed these steps, a page will appear indicating that
your account has been successfully registered.

the Benefits Division and PayFlex
which hopefully will answer the majority of your questions. You may also contact

Please provide your NU employee ID found on your Wildcard.
**Ordering
additional Debit Cards PayFlex will send you one Debit Card. You may order Debit Cards
for family members. Simply go to the PayFlex member website and
provide the requested employer name (Northwestern University),
First Name, Last Name and Dependent Type (Spouse) and then click
on the Submit button. Please allow 10 to 15 business days for processing
upon receipt of the order. The additional card(s) will be mailed
to your home address. Please make sure the address is your current
home address. If not, please contact the University's Benefits
Division.
**Direct deposit for receiving claim reimbursement payments
You may set up claim reimbursement payments to be deposited directly
to your bank account. Simply go to the PayFlex member website and
click on the Direct Deposit link. Provide the bank account type,
account number, routing number, institution type and then click
submit.
**Online store
PayFlex has partnered with a variety of online vendors (such as
drugsource, inc and drugstore.com) to offer you savings and home
delivery for more than 3,000 over-the-counter items, 4000+ prescriptions,
vision and hearing products. The Spending Account Buying Center
is a convenient way to utilize your healthcare spending account
dollars! The online store is accessible from the PayFlex member web
site and clicking on the PayFlex Spending Account Buying Center
button.
