Action Required for Certain End of Fiscal Year Deadlines

The end of the University's fiscal year brings changes which in some instances require staff's timely compliance for a smooth transition into the new year. We've summarized below some important points that require action by exempt staff.

 

Exempt Staff Kronos Time Entry Deadlines to Close Out FY 2012

Exempt staff and librarians must enter all FY 2012 time off into Kronos no later than Thursday, September 6. Exempt staff must report their FY 2012 absences -- this includes any sick, vacation, personal floating holiday(s), and bereavement time taken between September 1, 2011 and August 31, 2012 -- in the normal manner by September 6. Managers of exempt staff must approve the time off for their direct reports by Wednesday, September 12. 

 

Monthly Reporting in Kronos Beginning September 1, 2012

As previously announced, beginning September 1, 2012, exempt staff will be required to enter their time off in Kronos on a monthly basis. This should be done as the time is taken off each month, and no later than the sixth of the following month.

 

Change in Tracking Vacation Accrual Maximums

We previously announced that the maximum vacation accrual for exempt staff would be tracked on a monthly basis. In response to feedback we received regarding this issue, the 1.5 times the maximum vacation accrual will continue to be tracked on a fiscal year basis (reconciled at the end of each fiscal year). Exempt staff will enter their vacation, sick and personal floating holiday usage every month and supervisors will approve it every month, but the 1.5 times maximum limit will only be applied at the end of the fiscal year.

 

Personal Floating Holidays (PFH)

Personal floating holiday balances will be eliminated at the end of the fiscal year, August 31, as usual. The next fiscal year's PFH days -- 3 days -- will be entered into the system effective September 1.


Incidental Sick Time (IST)

On September 1, 2012, 18 days will be placed in each exempt staff member's incidental sick bank in accordance with the new Absence Management Program. Any sick day balances of exempt staff will be eliminated as of August 31. Thereafter, the new Extended Sick Time (EST) program will pay eligible staff 100 percent of base wages/salary for an approved absence.
